Trip slips entered automatically
- 3 minsaved on every slip
- 40–50 hrssaved a day at this client's 800–1,000 slips
- ₹30L+working capital freed by clearing the backlog
The problem
Every trip produces a duty slip with a booking ID, date, amount and client. A car rental business handling 800–1,000 trips a day was typing each slip into its booking system by hand, and the backlog meant trips couldn’t be billed on time.
What I delivered
A cloud pipeline that takes a zip of slip PDFs, reads each one with AI, updates the matching booking through the booking system’s API, files the slip in a folder per client and produces a report of everything processed.
The result
The team now uploads slips instead of typing them. At 3 minutes a slip, that’s 40–50 hours of data entry saved every day, and clearing the backlog freed more than ₹30 lakh of working capital that had been waiting on billing.
How it's built
From input to result
- Staff upload a zip of slips
- AI reads each slip
- Booking updated through the API
- Slip filed by client
- Daily report
Built with
- Google Cloud Functions
- Cloud Workflows
- Cloud Storage
- Gemini (Vertex AI)
- Python
- Booking-system API
Engineering decisions
- Event-driven: uploading a file is the only thing staff do; everything after that runs by itself.
- Temporary AI errors are retried automatically, and anything that still fails is logged for review instead of lost.
- The booking system's own API is updated directly, so there's no second system to maintain.
